Job Purpose: The Inventory and Procurement Team Lead is responsible for the strategic oversight and coordination of all inventory control and procurement activities within the company. This role ensures that all procured and owned goods including but not limited to Personal Protective Equipment (PPE), tools, equipment, and materials are efficiently sourced, tracked, stored, and managed across all company facilities.
This role demands strong leadership, strategic thinking, and operational execution to ensure that both procurement and inventory functions contribute effectively to the company’s overall success.
Accountabilities:
1. Supervise the Inventory and Procurement Team and any associated personnel.
2. Ensuring the seamless integration of procurement and inventory processes in alignment with company policies, budgetary guidelines, and operational needs.
3. Effective interface with vendors and suppliers.
4. Confidentiality.
Other:
1. Support the human resource needs of the Inventory and Procurement section, including recruitment, onboarding, training, performance management, and supervision of contract labour. Foster a high-performing team culture that aligns with company values and operational goals.
2. Lead or participate in special projects as assigned by Executive Management, contributing to strategic initiatives, process improvements, and operational efficiency across the supply chain function
Role Specific Work Processes and Standards:
1. Inventory Management
a. Coordinate the storage, warehousing, and inventory management of all procured and owned goods, materials, and equipment, ensuring compliance with established company policies and procedures.
b. Design and maintain an efficient warehouse layout that supports effective storage, access, and retrieval of goods, while ensuring optimal use of space and resources.
c. Control and supervise the movement, storage, and handling of goods and materials to ensure appropriate security, environmental conditions, accessibility, and housekeeping are maintained at all times.
d. Ensure all received materials are accurately documented and promptly updated in the Inventory
Management System to support real-time inventory verification and tracking.
e. Maintain adequate levels of Personal Protective Equipment (PPE) for the Kenson Group in line with
approved budgets and operational requirements, ensuring timely procurement and delivery.
f. Maintain detailed records of PPE and material orders, provide monthly updates to management
on outstanding items, and respond promptly to internal inquiries regarding material availability
and delivery timelines.
g. Coordinate procurement activities with vendors, including negotiating pricing changes, managing
order cancellations, ensuring PPE quality and standards are met, handling discontinued items and
substitutions, and resolving delivery or invoice discrepancies.
h. Conduct routine inventory audits and reconciliations to ensure physical inventory aligns with
system records, identifying and correcting variances as needed.
i. Enforce HSSE policies and procedures within the warehouse, ensuring safe storage practices,
equipment handling, access control, and general operational safety standards are upheld.
j. Oversee the proper handling, verification, and disposal of obsolete or surplus inventory,
recommending appropriate methods of asset disposal in accordance with company policy.
2. Procurement and Purchasing
a. Lead the preparation and review of quotations and purchase orders, ensuring alignment with the
company’s procurement policies, procedures, and budgetary guidelines. Including all client third
party purchases.
b. Oversee negotiations with suppliers regarding pricing, service level agreements, and contractual
terms. Ensure comprehensive evaluation of suppliers through data-driven analysis comparing
price, quality, reliability, and service.
c. Monitor and track purchase orders and incoming shipments, intervening when necessary to
expedite delayed, incomplete, or defective deliveries to maintain business continuity.
d. Coordinate the efficient distribution of materials received to relevant departments, ensuring
timely communication and alignment with operational needs.
e. Manage the organization’s inventory control system, including monitoring internal inventory
movements, maintaining accurate records, and ensuring completion of inventory transfer
documentation for accounting and audit purposes.
3. Reporting and Documentation
a. Utilize feedback from customers and staff both qualitative and quantitative to measure their
experience to satisfaction to provide corrective action and proper support.
b. Gather data and complete various reports, business letters and memorandums attenuate with
procurement and logistics activities.
c. Provide advice, information and guidance on procurement related matters to staff across the
company to provide governance and support good practice in procurement
d. Generate regular inventory reports for management, highlighting key metrics such as stock
levels, usage trends, and inventory turnover rates.
e. Maintain accurate documentation for all inventory transactions, including receipts, issues,
returns, and adjustments.
f. Ensure compliance with all relevant company policies and regulatory requirements regarding
inventory control.
g. Plan and implement annual inventory cycle count for the annual verification of stock items and
valuation of inventory.
Qualifications and Competencies:
1. Bachelor’s degree in Business Administration, Inventory Management, Accounting, or a related field.
2. Certification in Inventory/Procurement Management (e.g. CPIM/CIPS) is an asset.
3. Proven experience in a similar role, with a minimum of five (5) years in inventory management in a
manufacturing or industrial environment.
4. Strong understanding of Inventory Control procedures and best practices.
5. Analytical mind with strong attention to detail.
6. Outstanding organizational and problem-solving skills and ability to multi tasks simultaneously.
7. Excellent communication and leadership abilities.
8. Proficiency in Microsoft Word & Excel and Inventory management systems and software
9. Excellent oral and written communication skills.
10. Strong supervisory skills
11. Ability to lift and move inventory items as required.
12. Prolonged periods of standing and walking in storage areas.
13. Office and warehouse environment, with occasional travel to supplier sites as needed.
